How to Build a HubSpot Knowledge Base
You find your team answering the same handful of questions every week, and the answers live in sent folders, Slack threads, and the head of whoever has been there longest.
A knowledge base moves those answers into one searchable place your customers and your team can both reach. This guide shows you how to build one in HubSpot, from categories and article structure through private internal content, analytics, and the Breeze AI agents that now draft articles and answer chats for you.
What You’ll Find Inside
Build a knowledge base plan you can start on this week. The 16-page guide covers setup with current HubSpot navigation, an article structure that works for any topic, the three visibility settings for public and internal content, how the Breeze editor, knowledge base agent, and customer agent fit together, and the Analyze tab metrics that point to your next fix.
-
What is a knowledge base?
A knowledge base is a searchable library of short help articles hosted on your own domain. Each article answers one question, such as how to reset a password or how refunds work. Customers use it to solve problems on their own, and your team uses it as the single source for how you answer things.
-
How is a knowledge base different from an FAQ page?
An FAQ page is one long scroll that gets harder to use as you add to it. A knowledge base organizes articles into categories with search on top, so each answer has its own page and its own link. That structure also lets your support reps drop article links into replies and lets AI assistants find and quote your answers.
-
Do I need a specific HubSpot plan to build one?
Yes. The knowledge base comes with Service Hub Professional and Enterprise. Professional includes one knowledge base with up to 2,000 articles, and Enterprise supports up to 100 knowledge bases with 10,000 articles across the account. HubSpot's AI agents for support content also sit on those same two tiers.
-
Can I use the same knowledge base for internal team content?
Yes, and it is one of the better uses of the tool. Every article carries its own visibility setting, so you can publish customer help pages publicly and restrict HR policies, sales processes, and IT guides to the teams who need them. Both live in one library with one search and one set of reports.
-
Can HubSpot AI write the articles for me?
Breeze generates and refines content inside the HubSpot article editor, so you can draft a section from a prompt or highlight existing text and ask for a clearer or shorter version. The knowledge base agent works one level up, reading your closed tickets to suggest new articles and flag the ones that have gone unclear or out of date. Nothing publishes on its own. You accept or dismiss each suggestion, and HubSpot's own guidance is to proofread and edit AI content before it goes live.
