Automated routing workflows ensured records entering HubSpot through forms, integrations, and migration activities were assigned to the appropriate business unit, while additional controls managed data flowing from connected systems such as Zendesk, Chargebee, and Kronos.

Building the Master Sandbox Environment
Rather than introducing major changes directly into production, the project began with the creation of a dedicated Master Sandbox designed to mirror real-world operations as closely as possible.
Campaign Creators removed outdated sandbox records, added users across regions, synchronized a representative sample of production data, and combined it with migrated records from Zoho and Highrise. This provided stakeholders with a realistic environment for validating business processes, testing data relationships, and confirming user experiences before deployment.

Migrating and Structuring Enterprise Data

As the team evaluated existing automation, they uncovered a team assignment property that duplicated business logic already embedded throughout HubSpot. Because that property was referenced across hundreds of workflows and lists, maintaining it would have added unnecessary complexity and increased the likelihood of inconsistent routing behavior.
Campaign Creators simplified the architecture by retiring the duplicate property and rebuilding assignment processes around Business Units and existing organizational structures. External data sources were incorporated into the new framework, creating a cleaner and more scalable approach to automation, lead management, and reporting.
Resolving Historic Workflow Issues
Not every challenge originated from the migration itself. During implementation, Campaign Creators identified legacy workflows that remained active despite having no enrollment criteria, creating the possibility that large-scale data updates could unintentionally trigger communications and automated actions.
Migration activities were temporarily paused while the team reviewed enrollment histories and analyzed workflow activity over 90 days. Obsolete workflows were disabled before data movement resumed, preventing avoidable disruptions and helping ensure a more controlled go-live experience.
Creating Standardized Reporting and Visibility
One of Equisoft's long-standing challenges was the lack of consistent reporting across regions. Different CRM systems and pipeline structures made it difficult for leadership to compare performance and understand business activity at a global level.
To solve this, Campaign Creators mapped regional sales pipelines to a standardized set of global Equisoft stages. This created a common reporting framework across business units, allowing opportunities from different regions to be measured consistently.
