Executive Assistant

We are currently seeking an Executive Assistant to support our founder and CEO with all day-to-day business activities for his portfolio of businesses: Campaign Creators, Socktopus Ink and the San Diego Economic Crime Committee. The individual that we’re seeking will work directly under the CEO to manage and execute all required tasks which include overseeing all communications, management of client relations, vendor sourcing, project management and scheduling.

You will primarily support his role as the Head of Sales for Campaign Creators where he takes incoming sales inquires from “I’m interested” to “I’ve signed on the dotted line.” You'll also assist as needed with special projects for the other two business streams. Position Overview

With our CEO's portfolio of businesses, staying on top of schedules, meetings, tasks and to-dos can get more than a little hectic. No hour, day or week is ever the same.

For example, you might spend one day assisting him with creating IG reels for Socktopus Ink, then spend the next day inside HubSpot Sales Pro managing, vetting and communicating with prospective agency clients.

You might spend one week helping to build a sales deck presentation and attending client calls to take notes, then spend the next week organizing and sending client gifts.

Duties and Responsibilities

You’re someone who is comfortable with ambiguity and willing to step up and take the lead on project organization without needing a go-ahead. You love autonomy. You’re a self-starter. You can be provided with a goal (sometimes a vague one) and figure out how to get there. You can work through a problem to find a solution without needing support or guidance.

  • Using HubSpot Sales Pro and Microsoft Outlook, receive, screen and organize incoming sales inquires and ensuring timely follow-ups and replies
  • Using our project management tool, Teamwork, create tasks, workflows and timelines to keep things on track and moving forward
  • Handle all new and prospective client communications, from initial inquiry to final sale
  • Act as the CEO’s “second brain” ensuring no detail gets overlooked and no idea unexplored
  • Schedule and attend meetings, taking notes and ensuring the CEO has all the information needed to be prepared and organized before and after the meeting
  • Coordinate travel arrangements including flights, transportation, and hotels
  • Assist in the preparation of sales decks and other documents
  • Coordinate, maintain and track project-based work, contact lists and other database needs as assigned
  • Manage calendars, appointments, meetings and all matters pertaining to the schedules, as required
  • Production of future and current client gifts
  • Management of client onboarding activities such as making & shipping (if needed) new client welcome videos, welcome boxes, and communication of contracted activities
  • Assists in client retention activities such as anniversary gifts and events, ongoing client education, and client check-ins

Experience and Qualification Requirements

  • 3-5 years of relevant experience required (internships applicable)
  • Strong knowledge of Google Workspace, Microsoft Outlook and other modern project management, document management and communication tools (Slack, PandaDoc, etc.)
  • Completion of the following HubSpot Certifications: HubSpot Sales Software, HubSpot Marketing Software, Delivering Sales Services
  • Previous experience working with HubSpot Sales Pro a bonus
  • Ability to think strategically, act methodically and work flexibly
  • Strong administrative management skills
  • Excellent verbal and written communication skills
