Construction Industry Success Story
How Springfield Striping & Sealing Rebuilt Bid Tracking in HubSpot and Connected It to QuickBooks Desktop
Springfield Striping & Sealing tracked bids manually, so one paving job bid by several competing companies showed up as multiple QuickBooks estimates, inflating pipeline and hiding the real win rate. Campaign Creators implemented HubSpot Marketing Hub Professional and Sales Hub Enterprise, rebuilt the pipeline around one record per job, and designed the data model for a Commercient-managed QuickBooks Desktop sync.

Springfield Striping & Sealing has been Southwest Missouri’s pavement maintenance company since 1971, trusted by property owners, managers, and builders to handle parking lot design, construction, maintenance, and safety compliance. Operating from Springfield, Missouri, the company covers asphalt, crack sealing, seal coating, concrete, striping, signage, and excavation, serving three distinct markets through separate Springfield, Branson, and Joplin lines. It employs 100 people across sales, estimating, and field operations.
Two things about that business shape the way work comes in. Jobs arrive from municipal, commercial, and residential customers across a wide service territory, so the physical location of a job determines who handles it. And a large share of commercial work arrives through general contractors, who routinely solicit the same paving, striping, or sealing project from several competing companies at once. One job can therefore generate several separate bids, all for the same stretch of pavement.

The Challenge
Before HubSpot, Springfield Striping & Sealing had no shared system for tracking where a bid stood or who was responsible for it. Because general contractors frequently solicit the same paving, striping, or sealing project from multiple competing companies, every parallel bid could create its own separate estimate in QuickBooks for what was really one job.
Left unaddressed, each additional multi-contractor bid would continue to distort reported pipeline value and win-rate accuracy, making it harder for leadership to judge true sales performance or forecast revenue with confidence.
Structural reporting and process gaps:
1. Inflated Pipeline Reporting
The same project, bid to multiple general contractors, showed up as a separate estimate in QuickBooks for each contractor. That made pipeline value and win-rate numbers unreliable for forecasting, since a single win could appear as one success among several recorded losses.
2. Job-Site History Split From the Record
QuickBooks Desktop could be searched by job address directly, but that address data did not carry into HubSpot. That gap made it difficult to pull a property's full job history inside the system sales and estimating teams worked in day to day.
3. Manual, Disconnected Bid Intake
Bids and estimates were tracked across spreadsheets, phone, and email, not a shared system. That left anyone outside the person directly handling a given bid without visibility into its status.
4. No Automated Lead Assignment
Assigning a bid to the right sales rep was a manual, person-dependent step with no systematic tie to the job's physical location. That approach couldn't scale cleanly as the sales team added headcount.
5. Disconnected Sales and Financial Systems
Sales activity and financial records lived in separate systems with no shared reference number tying a bid to its QuickBooks job. That made it difficult to reconcile revenue and job history across the two systems without manual cross-referencing.
“A standard CRM assumes one buyer per opportunity. In this industry a single job gets solicited by several contractors who are all competing to win it, and the paving company is quoting all of them. We had to build the deal structure around that before anything else could be accurate.”

Why Springfield Striping & Sealing Chose Campaign Creators
Springfield Striping & Sealing needed a partner who could translate a multi-contractor, job-site-driven bidding process into HubSpot's data model, not apply a generic CRM template built for single-buyer sales cycles. The engagement's scope required:
- A deal structure that tracks one job as one record, no matter how many general contractors are bidding it
- A data model and field mapping designed for a sync with an on-premise QuickBooks Desktop environment
- Custom, service-line-specific quote templates usable by the estimating team without developer support
- Lead-routing logic tied to a job's physical location, with billing address captured separately
- CRM screens built around the business's own terminology for bids, contractors, and job sites
Campaign Creators is a HubSpot Elite Solutions Partner, with the platform depth to model a Deal structure for a business where one job is routinely bid by several competing companies at once.
How Campaign Creators Rebuilt Bid Tracking Around a Single Source of Truth
Campaign Creators sequenced the engagement around CRM strategy and data modeling first, followed by quote-template and lead-routing design, then a staged pilot rollout ahead of a planned extension to the full team.
Mapping the Deal Pipeline to How Bidding Actually Works
The existing contact-based sales model couldn't represent a job bid to multiple general contractors at once. Campaign Creators modeled each project as a single Deal, internally referred to as a "Bid," with a "Class" property on the deal identifying its service line (asphalt, concrete, sealing, or striping). This structure lets the team track one job through to a single win or loss, not count each contractor's submission as a separate pipeline entry, and supports service-line-level reporting without a separate custom object to maintain.
Data Modeling and the QuickBooks Desktop Sync
Campaign Creators designed the HubSpot data model and field mapping for a sync with Springfield Striping & Sealing's QuickBooks Desktop environment, implemented and operated by Commercient, a third-party ERP-sync vendor the client contracts with directly. The scoped sync brings QuickBooks accounts, contacts, invoices, and invoice line items into HubSpot over an ODBC connection, four times each weekday. A second phase, syncing data from HubSpot back into QuickBooks, was scoped as later work, pending confirmation of how QuickBooks Desktop handles a sales order built from a single multi-line HubSpot quote.
Data Migration and Field-Level Mapping
An early data migration pass surfaced gaps: job-site addresses had not carried over from QuickBooks into HubSpot, and contact and bid history were incomplete for several major general-contractor accounts. Campaign Creators identified job-site address as a property to add to the sync, and proposed bringing the HubSpot Record ID across as the shared reference number tying a HubSpot deal to its QuickBooks job, as part of the integration's next phase.
Three Properties Doing the Reporting and Routing Work
Required properties were identified by working through how estimating, sales, and finance each use a job record day to day: a service-line "Class" property on the deal for reporting, a job-site address property distinct from billing address, and a property capturing job-site postal code to support lead routing.
Postal Code Routes the Bid to the Right Territory
Campaign Creators built routing and notification workflows around the new pipeline structure:
- A new contact created from a bid inquiry is filtered by postal code, so leads route to the sales rep assigned to that territory; billing address is captured as a separate property and is not used for routing
- When a bid's deal stage moves to complete, an automated notification goes to the team's shared bid inbox, removing a manual step that depended on one person remembering to notify the group
Two Quote Templates Estimators Build From Themselves
Campaign Creators built two no-code HubSpot quote templates, one for sealcoating and striping work and one for asphalt work, so estimators could generate branded quotes without developer involvement. CRM UI customization across contacts, companies, deals, and tickets used Springfield Striping & Sealing's own terminology. Rollout proceeded through a staged pilot group covering a subset of sales reps, support staff, and leadership, ahead of a planned extension to the rest of the team.
The Results
Campaign Creators redesigned Springfield Striping & Sealing's bid-and-estimate pipeline and connected it to the company's existing financial system.
Key outcomes included:
- Deal pipeline redesigned around one record per job, replacing a structure where multiple general-contractor bids for the same project could each appear as a separate estimate
- Marketing Hub Professional and Sales Hub Enterprise deployed as the sales and marketing system of record
- QuickBooks Desktop connected to HubSpot through a Commercient-managed sync, bringing accounts, contacts, invoices, and invoice line items into HubSpot four times each weekday
- Two custom, no-code quote templates deployed for the company's core service lines
- Postal-code-based lead routing and deal-stage bid notifications built around the new pipeline structure
A second sync phase, from HubSpot back into QuickBooks, and extension of the system to the full sales team remain planned next steps.
Impact: A Pipeline Structure Built Around How the Business Actually Wins Work
Springfield Striping & Sealing's deal pipeline is structured around one job, one deal, regardless of how many general contractors solicited a bid for it. Job-site address and service-line class live as properties on HubSpot's own Deal object, not inside a separate custom object, so the team can extend reporting by property or by service line as adoption continues, without rebuilding the underlying data model.
Solve Pipeline Accuracy and Multi-System Reporting With Campaign Creators
Businesses that bid the same job to multiple buyers, or that run sales and finance on separate systems, often carry pipeline and reporting numbers that look precise but don't hold up under scrutiny. Closing that gap requires a CRM data model built around how deals are actually won, not a generic template, plus a well-mapped connection to the financial systems that already hold a business's history.
Campaign Creators builds HubSpot environments connected to the systems businesses already run on, from on-premise ERPs to legacy accounting software, so that sales, estimating, and finance teams work from the same numbers.
