Manufacturing Success Story

How a U.S. Structural Foam Manufacturer Digitized RFQ Intake Across 3 Plant Locations With HubSpot Playbooks

A U.S. custom molder specializing in structural foam parts ran its entire RFQ process on paper, with no CRM across any of its plant locations, forcing sales reps to re-enter the same specifications across disconnected systems while service teams worked from static documents. Campaign Creators built a HubSpot Sales Hub and Service Hub foundation anchored by a structured RFQ Playbook, mapping the client's paper form field-for-field into digital deal properties. The system now supports RFQ intake, deal tracking, and service ticket routing across three plant locations from a single system of record.

RFQ data fields migrated from paper into digital deal properties

This client is a U.S. manufacturer specializing in custom structural foam molding, producing parts to customer specification across multiple plant locations. Its sales process depends on Request for Quotation (RFQ) submissions from manufacturing customers, each carrying detailed part specifications, and on a mix of in-house and independent sales representatives who manage those customer relationships across every plant. Before this engagement, the company had never run a CRM and had no formal, company-wide sales process in place.

That process ran entirely on paper. Sales reps manually recorded specifications on legacy intake forms and re-entered the same information across disconnected systems, while service teams had no shared record to work from beyond static documents. Campaign Creators built a HubSpot Sales Hub and Service Hub foundation anchored by a structured RFQ Playbook, mapping the client's existing paper form field-for-field into digital deal properties. The system now supports RFQ intake, deal tracking, and service-side ticket routing across three plant locations from a single system of record.

The Challenge

The company's RFQ process ran entirely on paper. Each new quote request arrived as a multi-page intake form capturing 12 distinct fields, customer part number, part drawing availability, mold drawing availability, part weight, run quantities, press size and type, shots per hour, secondary operations, parts per skid, general packaging requirements, sample parts, and QA plan, all filled out by hand and passed between people, with no digital record behind any of it.

Every RFQ that moved through this process carried the same risk: a field copied incorrectly between systems, or a paper form that never made it to the person who needed it next, could send inaccurate specifications toward production or delay a quote the sales team had already promised. As the company took on more RFQs across more plant locations, that risk multiplied with no system in place to catch it before it reached the shop floor.

Where the Manual Process Broke Down

1. Duplicated Data Entry

Sales reps manually recorded the same customer specifications on paper forms and re-entered that information across separate systems for every RFQ. This made consistent, error-free data unattainable at any real volume and left every quote dependent on a rep re-keying it correctly by hand.

2. Information Trapped in Static Documents

Critical RFQ details lived in individual paper forms, not a searchable system. This made deal information unreportable across the sales team and slowed how quickly service staff could act on a given account.

3. No Sales Process Foundation

The company ran its entire sales pipeline without a CRM of any kind. This made pipeline visibility and account handoffs dependent entirely on informal, person-to-person communication with no shared system behind it.

4. No Connection Between Sales and Service Data

Sales captured RFQ data with no way for service teams to access the same information directly. This made service response dependent on reps manually passing details along, with no shared account record to fall back on.

5. Limited Visibility for Independent Sales Reps

Reps listed as account owners could not see notes, tasks, or tickets recorded on their own accounts unless someone directly copied them in. This made account handling dependent on being manually looped into every interaction, with no standing visibility built in.

"When a client has never run a CRM before, the real risk isn't the software. It's building something that only makes sense to whoever set it up. We built this playbook straight from paperwork the plants were already filling out, so nothing about it asked the sales team to learn a new way of thinking about their own process."

Why This Manufacturer Chose Campaign Creators

A manufacturer running its entire sales process on paper needed a partner who could translate an existing, working process into HubSpot, not one who would hand over a generic sales template and expect the plants to adapt to it. That meant a build that started from the client's own RFQ paperwork, gave service teams the same account visibility sales already had, and could roll out one plant location at a time, not as a single disruptive cutover.

Campaign Creators is a HubSpot Elite Solutions Partner, with the Sales Hub and Service Hub implementation experience to build a first-time CRM foundation around a process a client already trusted, not one imported wholesale from somewhere else. The engagement's technical requirements included:

  • A structured RFQ intake process built around Sales Hub Playbooks, not native Forms, so intake data writes directly to deal properties.
  • A custom deal-property set matching an existing paper RFQ form field-for-field.
  • Workflow automation updating deal properties directly from playbook entries.
  • Service Hub ticket workflows tied to contact ownership, extending the sales team's account structure to the service team.
  • A phased rollout across multiple plant locations, staged one location at a time.

How Campaign Creators Turned an Existing Paper Process Into a Digital Sales and Service Foundation

Campaign Creators approached this build by treating the client's existing paperwork as the specification, not a legacy system to be replaced with something generic. Implementation moved in phases by plant location, pairing each rollout with adoption support before treating any location as fully onboarded.

architecture

System Architecture: Playbooks Over Forms

HubSpot's native Forms could not write submitted data directly to deal properties, and reps working from shared plant-floor workstations risked having a new RFQ submission attributed to the wrong account through browser cookies tied to whichever session was active. Campaign Creators built the RFQ intake as a structured Sales Hub Playbook, giving each rep a guided entry path tied to the specific deal record they were working, not a shared submission queue. RFQ data now attaches to the correct deal at the point of entry, regardless of which workstation or rep captured it.

property information

Property Set Definition: The RFQ Form, Rebuilt as Deal Data

The plants already had a working RFQ form, and any digital process that dropped or reorganized its fields risked breaking a process the sales team and plants both already understood. Campaign Creators built a custom deal-property set field-for-field from the company's existing Ballpark and Firm RFQ forms, capturing all 12 fields the paper process required: customer part number, part drawing availability, mold drawing availability, part weight, run quantities, press size and type, shots per hour, secondary operations, parts per skid, general packaging requirements, sample parts, and QA plan. Every RFQ now produces the same structured data set the plants were already trained to fill out, with none of it living only on paper.

Automation

Automation and Workflows

Without automation, every completed playbook would have needed a second manual step to copy its data into the deal record. Campaign Creators built workflow automation that updates deal properties directly from completed playbook entries, alongside two Service Hub ticket workflows built to route new tickets and resolutions based on a contact's existing owner. Deal data updates itself from the point of intake, and service-side ticket ownership follows the same account structure sales already relies on.

Automation examples included:

  • Completing the RFQ playbook triggers an automatic update to the deal's custom properties, with no separate data-entry step for the rep.
  • A new support ticket was built to trigger owner assignment based on the associated contact's existing owner, routing it toward the rep already tied to that account.
  • A ticket marked resolved was built to run a resolution workflow tied to that same contact-ownership structure.

Connecting Email to the Deal Record

Rep email activity needed to attach to the right account and stay out of a personal inbox alone. Campaign Creators built an Outlook email integration connecting rep inboxes to HubSpot. Email activity now ties to the deal and contact record it belongs to, not just whoever's inbox it landed in.

Building for Adoption

A first-time CRM user needed more than a technically correct build to make the system stick across multiple plant locations. Campaign Creators staged a phased rollout by plant location, ran adoption-support sessions to work through in-the-field questions, including why the RFQ process ran through Playbooks and not a form, and closed with a documented final review before the account moved to standard support. The company now has a recorded rationale for how the system was built, not knowledge held only by whoever set it up.

The Results

Replacing an entirely manual RFQ process changed how the company's sales and service teams work day to day:

Key outcomes included:

  • Replaced the plants' paper RFQ forms with one digital Sales Hub Playbook covering the same information across every location.
  • Removed the manual re-entry step between RFQ intake and the deal record through direct property automation.
  • Gave every plant the same RFQ intake path, in place of forms that had previously varied location by location.
  • Built service-side ticket routing on the same contact-ownership structure sales already used, designed to extend account visibility to the service team.

None of it required the company to run a second system alongside HubSpot or relearn a sales process built around someone else's template.

Impact: A Sales Foundation Built Around the Client's Own Process

The deal-property set traces directly back to the RFQ form the plants were already using, so account data mirrors how the business actually runs, not a generic template applied on top. Because deal properties update from the playbook itself, the same structure applies across every plant location already onboarded, so a new location plugs into an existing framework, not a one-off build.

Solve Manual RFQ Intake and Disconnected Sales Data With Campaign Creators

Manufacturers running RFQs on paper face the same exposure at scale: specifications that do not carry cleanly from intake to production, and sales data that only exists in the memory of whoever handled the account.

Closing that gap means building a digital process around whatever the business already does well, not asking sales and plant teams to abandon a process that already works, and pairing it with automation that keeps deal data current without extra manual steps.

Campaign Creators builds HubSpot Sales Hub and Service Hub foundations for manufacturers formalizing a sales process for the first time, anchored in the client's own workflow, not a generic template.
