Healthcare Success Story
How JumpstartMD's Marketing Team Gained Email Campaign Independence With a Reusable HubSpot Template System
JumpstartMD is a physician-led weight-management practice with 14 clinic locations across California. Its marketing team needed a developer to code every Pardot email and had no reusable template. Ahead of Pardot's February 2025 shutdown, Campaign Creators built a modular, brand-compliant template in HubSpot and launched a fully automated 10-part Welcome Series from it, so the team now builds campaigns on its own.

Reusable Email Template Established
JumpstartMD is a physician-led weight-management and wellness practice operating 14 clinic locations across California with a team of 250. Its marketing team reaches prospective and existing patients primarily by email, working from a database of more than 40,000 contacts.
That operation ran entirely on Pardot, and it ran on developer time. Each new email required custom code, with no master template the marketing team could reuse from one campaign to the next, so the pace of patient communication tracked developer capacity rather than marketing intent. Pardot had a fixed shutdown date, which meant the team faced two problems at once: moving an entire email program onto a new platform, and doing it in a way that did not carry the same dependency across with it.

The Challenge
JumpstartMD's marketing team built every email inside Pardot using hard-coded, one-off templates with no single reusable foundation behind them, leaving the team dependent on developer support each time it wanted to launch something new. With Pardot's termination deadline fixed for February 21, 2025, that dependency had to end before the platform disappeared, not after.
Every email the team wanted to send carried the same cost: a developer request, a wait, and a one-time template that could not be reused for the next campaign
What Was Blocking Marketing From Working Independently
1. No reusable email template.
Every campaign required a developer to code a new template from scratch. This meant the marketing team could not launch or adjust a campaign on its own timeline.
2. Design elements incompatible with HubSpot's native editor.
The client's Figma source files used Google fonts and an overlapping graphic element that HubSpot's drag-and-drop editor and standard email clients could not render. This made a direct one-to-one rebuild of the existing design impossible without changes.
3. A fixed platform shutdown date.
Pardot's termination on February 21, 2025 left no room to phase the new template and campaign work in gradually. This compressed the entire design, build, and QA process into a hard deadline.
4. Delayed delivery of campaign assets.
Final email copy, strategy, and information architecture for the new Welcome Series arrived later than planned. This left a shortened window to build, review, and launch ten emails before the shutdown.
5. No automated path from new lead to nurture sequence.
New website-form leads and Salesforce Lead Queue additions had no unified, automated welcome journey tied to the new template. This meant new prospects reached the practice without a consistent, branded introduction to its programs.
JumpstartMD needed a template system the marketing team could operate on its own, built and proven before the deadline that would otherwise force everything to stop.
"JumpstartMD didn't need another one-off email built for them. They needed a template they'd never have to ask us to rebuild again, and we had to prove that inside a deadline that wasn't moving."
— Kiara Carniewski, Account Executive, Campaign Creators
Why JumpstartMD Chose Campaign Creators
JumpstartMD needed a partner who could translate its own brand designs into email that renders everywhere, on a fixed deadline, without leaving the marketing team dependent on a developer for the next send. The engagement's technical requirements included:
- A master email template built in HubSpot's native drag-and-drop editor, not a custom-coded one-off
- Reusable Saved Sections following the client's own naming conventions
- Diagnosing which Figma design elements would fail to render in standard email clients
- A time-delayed automation sequencing ten emails from two lead-entry points
- All of it inside a fixed platform shutdown deadline
Campaign Creators is a HubSpot Elite Solutions Partner and Accredited Specialist for Health Care Industry. That context applied directly, since the Welcome Series reaches prospective patients considering a medically supervised program and had to hold up to the reliability any patient-facing communication requires.
How Campaign Creators Built a Reusable Email System for JumpstartMD's Marketing Team
Campaign Creators approached the project as a template build first, a campaign build second. The team did not migrate JumpstartMD's existing hard-coded Pardot emails as-is; it used the client's Figma files to construct a new, modular template inside HubSpot, then built the Welcome Series on top of it.
Every Campaign From One Template
The build centered on a single "system of record" decision: every campaign the marketing team runs going forward draws from one master template, not a new one-off build each time. Saved Sections, standard content blocks like hero images, testimonial modules, and feature blocks, were built and named according to the client's own naming convention so the marketing team could identify and reuse them without external help.
Two Enrollment Paths Through the Salesforce Sync
New leads reach the Welcome Series automatically through JumpstartMD's existing native HubSpot-Salesforce integration: a website form submission or a new entry in the Salesforce "Lead Queue or Nurture" list lands the contact on a HubSpot active list, and that list is the enrollment trigger for the workflow.
Pardot Segments Rebuilt as HubSpot Lists
Existing audience segmentation moved from Pardot into HubSpot active lists as part of the same rebuild, so the marketing team's existing audience definitions carried over intact, with no rebuild from scratch required.
Saved Sections Named the Way the Team Thinks
Naming and scoping each Saved Section was its own exercise, worked out from the specific blocks the marketing team actually reaches for when assembling an email, hero images, testimonial modules, feature blocks, not a generic module library. That definition work, tied to the client's own naming convention, is what lets a campaign builder open the template and know which block to use without asking what it's called.
Enrollment Split by Lead Source
The Welcome Series workflow distinguishes between two enrollment paths, new web-form leads and Salesforce Lead Queue additions, so each contact enters the sequence tied to how they actually reached JumpstartMD.
A Ten-Email Sequence on Delays
A new website-form submission enrolls the contact in the Welcome Series workflow.
A new or added Salesforce Lead Queue or Nurture entry enrolls the contact in the same workflow through the native Salesforce sync.
The workflow sequences all ten emails with fixed time delays between sends, pacing the introduction to the practice over multiple weeks, not in one single delivery.
Render-Tested Before Handoff
Before the template reached the marketing team, development partner Prodigitas quality-checked it for rendering across major email clients. Campaign Creators also flagged specific design elements in the client's Figma files, including an overlapping quote graphic and non-standard fonts, that would have broken in production, and proposed alternatives that preserved the brand's look while guaranteeing the template would render correctly once handed off.
The Results
The Welcome Series went live before the Pardot shutdown deadline, and the marketing team now has a system it can build from directly.
- The Welcome Series launched ahead of the February 21, 2025 Pardot shutdown, the deadline that set the entire build timeline.
- 10 marketing emails, written from client-provided copy, walk new leads through weight-loss and GLP-1 program education, patient testimonials, and a closing program discount.
- Development partner Prodigitas quality-checked the finished template against major desktop and mobile email clients before launch.
- Enrollment runs on two triggers, new website-form leads and Salesforce Lead Queue additions, with no manual list-building required.
- Marketing leadership can pull open, click, and attribution data for the full sequence from the native HubSpot Campaigns tool.
The marketing team can now build a new send from the same template system without waiting on a developer.
Impact: A Template System the Marketing Team Owns
What's structurally true now is that JumpstartMD's marketing team has a build system, not just a finished campaign. The Saved Sections were named and organized around the client's own conventions, not a generic module set, so the team can assemble a new promotional email, newsletter, or announcement by placing pre-approved blocks into the same template, without commissioning new code for each send. The Welcome Series itself runs inside the native HubSpot Campaigns tool, giving marketing leadership open, click, and attribution reporting on the sequence as one unified view, not separate numbers pieced together after the fact.
Solve Email Production Bottlenecks and Lead Nurturing Gaps With Campaign Creators
Marketing teams that depend on developers for every email face the same constraint JumpstartMD did: campaigns move at the speed of the next available coding resource, not the speed of the business. Closing that gap requires more than a redesign. It requires a template system built for the tools the marketing team already has, tested against how real email clients actually render, and automated so new leads enter a consistent nurture path the moment they arrive. Campaign Creators builds that system inside HubSpot, from the initial template architecture through the automation that keeps it running.
Own Your Email System on HubSpot
Campaign Creators builds email template systems and the marketing automation that runs on them, both inside HubSpot. That means a modular master template your team assembles from pre-approved blocks, lead-entry triggers wired to your CRM so new contacts enter a nurture path automatically, and reporting consolidated in the native Campaigns tool. As a HubSpot Elite Solutions Partner, we build it to your naming conventions and document it, so the next send is your team's to make.
