Software Success Story
How Fire Aside Unified 10+ Systems Into a Single Source of Truth in Just 20 Days
Fire Aside's marketing, sales, and customer data were spread across multiple disconnected systems, making it difficult to manage relationships, track performance, and scale operations. Manual deal tracking and separate databases also limited visibility across the business. Campaign Creators implemented HubSpot Marketing Hub Professional and Sales Hub Professional as a centralized CRM to migrate historical databases, integrate business systems, and build a custom CRM structure tailored to Fire Aside's needs.

The Challenge
Fire Aside relied on multiple platforms — including Webflow, Zoom, Typeform, LinkedIn Ads, Gmail, Google Analytics, Google Ads, Slack, and Google Calendar — to support its marketing, sales, and customer engagement activities. Because customer information and marketing data were spread across these systems, teams lacked a complete view of customer interactions and faced challenges tracking engagement, measuring campaign performance, and reporting on sales activity.
The implementation also required migrating historical records while preserving complex organizational relationships, along with building a CRM structure suited to Fire Aside's industry-specific needs. Without a carefully planned migration strategy and architecture, the company risked duplicate records, broken data relationships, and continued reliance on manual processes.
1. Disconnected Systems
Customer and marketing data were scattered across nine separate platforms, leaving teams without a unified view of customer interactions.
2. Historical Database Migration
Three separate databases needed to be migrated and mapped into HubSpot while preserving data integrity.
3. Complex Organizational Relationships
Parent-child relationships between agencies, sub-agencies, and partner organizations had to be accurately preserved during migration.
4. Industry-Specific Data Needs
Standard CRM fields weren't enough — Fire Aside required custom properties and structures reflecting its unique business requirements.
5. Manual Deal Tracking
Sales activity relied on manual tracking, limiting visibility into marketing performance and pipeline activity.
if we got the migration sequence wrong, we'd break those hierarchies permanently. So we designed the CRM structure first: pipelines, custom properties, the data model itself, before a single record moved. Only then did we migrate the their historical databases. Integrations and reporting came after the foundation was already solid.

Solution: How Campaign Creators Built a Centralized CRM for Scalable Growth
Designing a CRM Tailored to Fire Aside
The implementation began with designing HubSpot to reflect Fire Aside's operational processes and data requirements. Campaign Creators configured the core CRM structure, including standard objects, customized deal pipelines, and the underlying data model that would support reporting, automation, and user adoption.
To capture information beyond HubSpot's standard fields, Campaign Creators also created 14 custom CRM properties, including custom dropdowns and text fields for industry-specific classifications and sales data. By establishing the CRM structure before importing records, the platform was prepared to organize data consistently from the outset.
Migrating and Structuring Historical Data
Campaign Creators migrated historical customer information from three separate CSV databases into HubSpot using a structured data mapping process. Each dataset was aligned with the newly configured CRM structure before import to maintain consistency and improve data quality.
The implementation also included configuring Company associations to accurately represent relationships between agencies, sub-agencies, and partner organizations. Website and email domains were used as unique identifiers during migration to improve record matching, preserve organizational hierarchies, and reduce duplicate records.
Connecting HubSpot Across Marketing and Sales
To create a centralized operating platform, Campaign Creators integrated HubSpot with Fire Aside's existing business applications, including Webflow, Typeform, Zoom, Gmail, Google Calendar, Google Analytics, Google Ads, LinkedIn Ads, and Slack.
The team also configured key HubSpot tools to support daily marketing and sales activities, including Gmail integration for email tracking, HubSpot Meetings for appointment scheduling, marketing contact segmentation, and forms and landing pages for lead generation. These configurations enabled customer interactions, marketing engagement, and sales activities to be managed from a single system.
Delivering Centralized Reporting
To provide greater operational visibility, Campaign Creators developed six reporting dashboards tailored to Fire Aside's marketing, sales, and leadership teams. The dashboards included Lead Generation, Marketing Channel Performance, Website Analytics, Sales Opportunity Review, Sales Manager Performance, and Sales Representative Performance.
By consolidating data into HubSpot, these dashboards gave teams consistent access to performance metrics, pipeline activity, and marketing insights, enabling more informed decision-making across the organization.
The Results
By replacing fragmented systems with a unified data architecture, the company gained greater visibility into customer relationships and business performance while reducing manual processes.
Key outcomes included:
- Historical data from three separate databases was successfully migrated and consolidated into HubSpot while preserving data integrity.
- More than 10 business systems were connected to create a single source of truth across marketing, sales, and customer engagement.
- Complex parent-child relationships between agencies, sub-agencies, and partner organizations were accurately represented within the CRM.
- Industry-specific data management was improved through 14 custom CRM properties tailored to Fire Aside's operational requirements.
- Six reporting dashboards provided leadership and operational teams with centralized visibility into marketing performance, sales opportunities, and website activity.
- Manual deal tracking and disconnected reporting were replaced with automated data synchronization and unified customer records.
The new HubSpot environment gave Fire Aside a scalable CRM foundation that unified customer data, streamlined operations, and supported future marketing automation, sales engagement, and business growth from a single platform.
Impact: Building a CRM That Supports Long-Term Growth
The HubSpot implementation gave Fire Aside more than a centralized CRM. It established the operational foundation needed to support future growth. With standardized data, consistent reporting, and connected business processes, teams can make decisions using reliable information rather than manually combining data from multiple sources.
The new CRM also provides the flexibility to expand as the business evolves. With a well-defined data model and scalable platform configuration already in place, Fire Aside can introduce additional automation, refine sales and marketing processes, and adopt new HubSpot capabilities without requiring significant changes to its CRM structure.
By investing in a CRM built around its business requirements, Fire Aside now has a platform that not only supports its current operations but can continue to evolve alongside the organization as customer relationships, reporting needs, and business objectives become more sophisticated.
