Software Success Story
How Computer Solutions Unified 5 Disconnected HubSpot Objects Into a Single CRM Foundation
Computer Solutions is a small business software company running sales on HubSpot Sales Hub Professional. Its contacts were not associated with their company records, breaking the account-based view its B2B sales team relies on, and a decade of imports from earlier tools had left stale records throughout the database. Campaign Creators associated the core objects, cleaned the legacy contacts, and built a segmentation view splitting active customers from new prospects.

Computer Solutions is a San Antonio technology provider serving businesses across South Texas. Since 1984 the company has grown from $1 million in annual revenue to $74 million in 2021, building a client base of roughly 300 companies and a staff of more than 80 certified employees, and has been rated the number one best company to work for in San Antonio. Its work spans hardware and software resale alongside managed services, unified communications, network infrastructure, and virtualization, delivered through alliances with Cisco, Microsoft, HP, VMware, and F5, and for many of those clients Computer Solutions is the primary contact for professional and consulting services.
Their sales and business development team runs the company's pipeline in HubSpot Sales Hub Professional, and its motion is outbound into accounts the company does not serve yet. That puts a specific demand on the CRM. With roughly 300 existing customers already in the database, a rep opening a contact record needs to know right away if that person belongs to an account the company already serves or represents a genuine new opportunity. Answering that question depends on contacts being associated with their company records, and a decade of accumulated data from earlier tools had left that link broken across much of the database.

The Challenge
Computer Solutions had used HubSpot for years, but its CRM had grown without a consistent structure behind it. Contacts existed without being tied to their company records, properties had accumulated across a decade of prior tool use, and the sales team had no reliable way to tell new prospects from existing customers inside the platform.
Each new contact added without a company association widened the gap between what HubSpot showed and how Computer Solutions actually managed its accounts, and every business development call placed against an unclean list carried the risk of reaching a customer who had already signed instead of a genuine new prospect.
Disconnected Data Was Undermining the Sales Process
1. Contacts Without Company Associations.
Contact records in HubSpot existed independently of the company records they belonged to. This made it impossible for the sales team to see a complete, business-level view of any account in one place.
2. A Decade of Uncleaned Legacy Data.
More than 800 stale contact records had accumulated from years of prior Marketing Hub use and earlier system imports. This left every list and report diluted with records that no longer reflected active relationships.
3. A Deal Pipeline Structure That Didn't Fit the Business.
HubSpot's native Deal pipeline view could not usably display Computer Solutions' pipeline of nearly 1,000 open opportunities. This left the standard Kanban pipeline unworkable for day-to-day deal tracking at the company's actual volume.
4. No Reliable Way to Separate Prospects From Customers.
Lifecycle Stage values mixed new prospects together with existing customers. This made it possible for business development outreach to target accounts that had already closed as customers.
5. An Unfocused Property Set.
Years of accumulated fields left the database without a clear, consistent set of properties tied to what the sales and business development roles actually needed day to day. This made routine data entry inconsistent across the team.
“We didn't want to just import Computer Solutions' data as-is and call it done. If the contacts and companies weren't connected, every report and every prospecting list downstream would inherit that same problem, so we made fixing the association the first priority before anything else.”
Sam Anderson, Campaign Creators
Why Computer Solutions Chose Campaign Creators
Computer Solutions needed a partner who could take a working but disorganized HubSpot portal and turn it into a foundation its sales and business development team could actually rely on, without the cost of a full platform rebuild. That meant associating existing data correctly, cleaning up years of accumulated records, and configuring user permissions to match a small, focused team.
Campaign Creators is a HubSpot Elite Solutions Partner, and brought that platform depth to a CRM foundation project sized for a small business, not an enterprise rebuild. The engagement's technical requirements included:
Associating existing Contact and Company records inside HubSpot's standard object model
Cleaning and simplifying a property set built up over a decade of prior tool use
Configuring user permissions across a mixed Sales Professional and Core seat structure
Identifying and correcting unreliable Lifecycle Stage data separating prospects from existing customers
Evaluating the native Deal pipeline's fit for the company's actual deal volume
How Campaign Creators Rebuilt Computer Solutions' CRM Foundation on Standard HubSpot Objects
Campaign Creators approached the engagement as a foundational data and configuration project. The sequence started with associating and cleaning the client's core records, then moved to permissions and segmentation once the underlying data could be trusted.
Built on Standard Objects Only
Computer Solutions' native HubSpot Deal pipeline could not usably represent a pipeline of nearly 1,000 open opportunities in a Kanban view. Campaign Creators kept the CRM foundation inside HubSpot's standard Contacts, Companies, Deals, Tickets, and Products objects, without introducing custom objects, and set the native Deal pipeline build aside for a future phase. This keeps the system administrable by Computer Solutions' own small team going forward, without requiring dedicated RevOps support to maintain custom object logic.
Page Views and Forms Into the CRM
Computer Solutions needed website and email activity flowing into HubSpot without a data warehouse or a full marketing stack behind it. Campaign Creators connected a WordPress tracking plugin to capture page views and form submissions, and connected an email sending domain to support sales deliverability. Website and email activity from the client's own tools now shows up directly against the correct contact and company record.
800 Legacy Contacts Cleaned and Associated
More than 800 legacy contact records had accumulated from a decade of prior Marketing Hub use, with no consistent cleanup process behind them. Campaign Creators identified and cleaned the legacy contact base as part of the same effort that associated contacts with their company records. New records added going forward inherit a clean, associated base, not more disconnected data to fix later.
Property Set Cut to Four Core Fields
Years of accumulated fields had left the database without a property set tied to what the sales and business development roles actually used day to day. Campaign Creators simplified the property set to a core group built around company, domain, industry, and email, working from the fields those roles actually rely on. Data entry stays consistent across the team, without drifting back toward the same sprawl.
Existing Customers Out of Prospecting
Computer Solutions needed each of its seven users to see only what their role required, and its business development team needed a reliable way to avoid re-prospecting existing customers. Campaign Creators configured seven total seats, one Sales Professional and six Core, matching platform access to what each role actually does, and used a customer list the client exported directly from its own system of record to correct Lifecycle Stage values and build a dedicated Customers company view and contact list. Business development now works from a view of genuine prospects, with existing customers routed out of it by default, and each user's permissions match their day-to-day role, not one shared default.
Cleaned the Data before Automating
This phase of the engagement did not include building automated workflows; the effort focused on associating and cleaning the underlying data first. No automation work is included in the scope of this angle.
Handoff by Live Implementation Review
Computer Solutions' own team needed to be able to work inside the new structure without ongoing dependence on Campaign Creators. Campaign Creators closed the engagement with a live Implementation Review Call, walking the client through account settings, the imported data, and the new Customers view, alongside HubSpot's own resource and training materials. The team left the engagement with a documented walkthrough of exactly what changed, not just a list of completed tickets.
The Results
The engagement replaced disconnected CRM data with a single, associated system of record. Key outcomes included:
1 Sales Professional seat and 6 Core seats configured, matching platform access to each team member's role
1 dedicated Customers company view and contact list built to route business development outreach away from existing clients
1 email sending domain connected to support sales deliverability
1 WordPress tracking connection capturing page views and form submissions against the correct contact and company record
Legacy contact records cleaned and associated with company records, closing the gap between HubSpot and Computer Solutions' actual account structure
Together, these changes gave Computer Solutions a CRM foundation it can build on, in place of the disconnected records it started with.
Impact: A CRM Foundation Computer Solutions Can Administer Itself
Computer Solutions closed this engagement with a CRM it can run day to day without outside help. Keeping the build inside HubSpot's standard objects means routine administration doesn't require a dedicated RevOps hire, and the narrower property set Campaign Creators put in place keeps new data entry from drifting back toward the same sprawl it started with. The Customers list gives the business development team a standing way to check a name before treating it as a new prospect, not a one-time cleanup that erodes over time.
Solve CRM Data Fragmentation and Sales Visibility With Campaign Creators
Small business sales teams often inherit CRM data that grew without a plan: contacts disconnected from companies, years of unclean records, and pipeline structures that don't match how the business actually sells. Left alone, this makes basic account visibility and accurate prospecting harder every quarter.
Closing that gap starts with associating and cleaning the data already in the system, then configuring the platform around how the team actually works, not a generic default setup. Campaign Creators builds HubSpot foundations sized to the business in front of it, from small sales teams to global enterprises.
Fix the Foundation Before You Rebuild the Platform
Bad account visibility usually traces back to data structure, not missing features. Associating and cleaning what you already have costs far less than a full replatform.
